We always communicate with each other when we will be out of town just so that we watch each others homes as well as are available if something comes up that requires a Board memeber (like trespassing on common property). Our Sheriff will not trepsass unless a Board member is present to request it.

I know I was vague. Sorry. Our issue is that meetings are not scheduled by the President until an "emergency" arises or there are a lot of issues to discuss. Without a concrete date, everyone just goes about their daily lives and then one it becomes apparent a meeting needs to be held, someone(s) is gone out of town with no idea when they will return.

If we all told each other when we would be gone, we could kind of plan around the dates. Ideally we would have scheduled meetings on a regular basis but that won't happen with the current President.

You are exactly right. Regular meeting times and dates will increase participation from the members. They know when meetings will be and no more waiting to hear when a meeting will be held. To me, it is a courtesy to the members and really helps the Board to plan ahead of time. Every association that I ever was involved in had regularly scheduled meetings.

Diane, I wish all Boards were willing have regularly scheduled Board meetings. Unfortunately, half of those we manage do not. The argument against regularly scheduled Board meeting by the Board members is that they can not plan that far in advance. It is interesting to note that the half that have regularly scheduled meeting have just as good, if not better, attendance by Board members.

Susan - no, our bylaws are vague and say "as needed" but I will try your suggestion because I do have the backing of one other officer. We both want more frequent meetings and see how far we get. The President just hates to have meetings and with everyone's schedules being busy, it gets hard to get us all together when she "decides" it's time, and then she gets to put it off another month or so.

I really just wanted to know whether other board members advise the rest of the board when they will be out of town. I do but some do not. It has made scheduling difficult this summer.

Your board needs to set regular board meetings, in fact, I believe that there might be a minimum requirement for boards to meet. Check your state statutes.

You ARE having annual meetings of the Members, aren't you?

Meet at least quarterly.

There would be no need to advise another person if you were out of town if you knew the schedule for the board meetings. Why does your board let this president dictate its effectiveness?

Make a motion to set the dates of the meetings.
