I am the new(6 months) treasurer on our board in NC. We provide landscaping and termite inspections as part of our dues.

Recently I found out by talking to some neighbors,friends that they had not received their yearly termite inspection. I remembered seeing in the financials we had paid for these services.

During a board mtg with our management co present I brought this up and the management representative said he would check on it, which he did.

The owner of the company went ballistic and said they charge us in the month the inspection is due to keep the insurance(bond) and then they do the inspection--sometimes two to three months later. She stated they get paid before they do anything.

I was wondering if anybody has experience with extermination companies and if this is common practice. All our other vendor provide the service and they we pay them.

Sounds strange to me, unless your contract provides for that type arrangement. If it does I would change it to something more reasonable. I seriously doubt, as keeper of the association funds that you would have authority to pay for a service you don't receive without a contract and that contract should consider when these inspections and routine visits are to occur. If the termite inspection is for May it should be done in May, not once a year which might allow the company to do the inspection in December and then again in Jan.

There may be circumstances that allow for this company to do that, but it should be in writing and if it is not in writing, I would demand the inspection and then send the payment. The AC man don't come to your house after you pay him, he comes before you pay him.

If the owner is going ballistic over something like this, I would look for another company.

I don't think I've ever heard of that for a company like that.

Doesn't mean it might not be common practice somewhere, but I know it's not common practice in all the years I've ever dealt with local extermination companies here.

Call a few other vendors and ask how their payments/billings work in relation to service.

That might give you some insight.
