A while back, someone posted a mechanism for providing verification of mailing meeting notices.

It involved getting a receipt from the Post Office and/or sending something back from the Post Office to the HOA via certified mail.

If anyone can find (or remembers) the details, please post them here.

Well I don't know about any other posting but you can go to the post office and mail anything certified or registered When the mail is picked up by recipient they will have to sign for it and I believe the post office then sends the signed form back to you It can get pricey I think it's about $5 for certified and $10 for registered per letter I don't think it's neccessary to send out notices this way unless you have homeowners who like to play the game of I never got that

Thanks, Helen, but the method I think I saw posted did not involve paying extra for each letter (300 in our case).

If I recall correctly, it simply provided proof that a specific number of letters were mailed on a specific date.

Not proof of each Member's individual notice -- just some extra (and not overly burdensome) diligence.

Michael I remember the post but not the details. I think they mailed to each H/O plus one back to the HOA. When it arrived they didn’t open it but stapled the receipt for the postage i.e. 100 homes 101 stamps bought to it and filed it along with a copy of the mailing list.

This is the only process that doesn't involve a per-unit fee of which I am aware, too.

In fact, we do this for every mailing.
