What items does your management company report on to the board during your meetings? Is a maintenance report included?

Our management company provides a report prior to each board meeting, distributing the report days ahead to allow the board to read, review, and if necessary, ask for more clarification prior to the board meeting. A typical report we receive does include maintenance reports, as well as requests for architectural changes, treasurer's report, financial statements, copies of voilation notices that have been sent out, assessment delinquincy report, and status from the assoication attorney regarding collections. The report also includes a suggested agenda for the board meeting, both the public portion and the executive session.

Our MC provides the following on a monthly basis, which we use at meetings:

*Monthly financial statement
*Site review reports
*ARC report

The MC does not attend regular Board meetings in our association unless we specifically ask them to. They do attend and facilitate the Annual Meeting though.

Managment report contents
ACR requests (if we have any)
Update on items discussed during the last meeting (e.g. if we asked the property manager to obtain bids on repair work, she brings them to the meeting for our review)
Requests or questions from homeowners the property manager has received (e.g. waive late fees or a complaint about a sidewalk repair)
FYI items which we don't discuss unless someone has a question (e.g. newsletters were mailed to offsite owners)
Items of note from the larger community (e.g. upcoming zoning hearing on a vacant lot across the street from our community))

We're supoosed to get our financial report at least five days before our board meeting - it consists of:

current balance sheets
Income and expense statement
Bank statement
Cash disbursement report
maintence and repairs performed during last month
Delinquency report with most recent action by facility attorney and running total on how much the homeowner owes

Manager/Management reports:
It would seem that the report prior to the regular meeting is between the Board and the manager and the Managers report for exclusion in the minutes should include only the facts of what the board wants to convey.
It has happened that the MC or Manager believes this is the time to editorialize about what ever they may be thinking, That discussion should stay out of the meeting and the report should be factual.

I am not sure the OP was looking in this direction but if you are looking for suggestions to the content of this kind of report, you might consider what I say.

Chris, I just sent off a Board packet for a monthly Board meeting next week. It included an Agenda, Balance Sheet, Income Statement, Check Register, Delinquent Accounts Report, and a detailed management invoice.

The agenda includes a Management Report which includes:
Financial Reports (with the signing of checks)
ACC Requests (with signed approval by the Board)
Covenant Violations Report (with hearings on fines if requested)
Maintenance Report - includes considerable info on completed and future needs for this townhome association.

For those of you who get maintenance reports how detailed are they? i.e. would it just say replaced light fixture or would it say where? I tend to think that with some history this could help identify trends about items that are having issues or nearing the end of life cycle earlier than anticipated. Our MC hires out all maintenance work so if I dig through invoices I can somewhat construct what has been done but it isn't as nice as having a simple report.

Chris, I would say that this kind of information can and should be gathiered by your MC. Type them out a list of maintenance items and have them make an entry each time a replacement or work is done on the item. Why not do it as it is being done rather than wait till after the fact. To me, this kind of record keeping is micro managing but I don' know your bircumstances and there may well be a good reason for this kind of thing. I remember at one time during my work career we had to write down our work day in 12 minute time blocks..............didn't work too well if I remember, and your scheme won't either. You may have the desire to do it and more power to you but how about after you?

I just wish our management company report included a management company.
