My HOA BOD seems to always have a problem in providing documentation on past and future Residence Improvement Applications (RIA). In general, the information is lost, not available, or you dont get any meaningful response. What are my options for remedy to this problem?

As a member, I don't believe there is anything you can do to remedy this situation. But, if you are a member of the BOD or the architectural committee your can do all in your power to make certain there are guidelines in place to ensure retention of these important documents. As I see it, this is an administrative problem that can only be remedied by the BOD.

On the other hand, if the board is just telling you they don't have the docs because they don't want to let your view or copy them, then you can remind them of the state law what obligates them to produce these records. What you refer to as RIA's are not considered confidential info therefore they must be made available to the members.

The applicable state statute is: Association financial and other records: Condos - ARS 33-1258; Planned communities - ARS 33-1805
