Yesterday Susan suggested using a "blind sealed bid process" when submitting MC bids to the BOD to avoid any bias or political favoritism. I think the idea is great and thank her for the suggestions.

What I'm trying to figure out is the proceedure? Does each prospective MC provide a number an letter ID instead of their name with the sealed bids? And, is each member of the board and committee (that I'm on) then also receive the corresponding name and ID to be able to identify the winning bid?

I'd appreciate any help on this.

You can make up your own procedure and form. The idea is to not reveal the name of the company, so that no one can claim that any one company got preferntial treatment. This is important when relatives, HO or even Board members submit bids.

I'd suggest a generic form, with the job completely itemized on it, where they can put prices and comments. All the bids should be the same, so you are comparing apples with apples. This is a very objective way of choosing a contractor.

However, we all know that the lowest bid is not necessarily the best one, so there should be room on the bid form for referrals, past history, recommendations, and other info that could show this company has that extra little punch. The board can then interview the top 2 or 3.
