Our HOA is an 80 unit complex in ski country in Utah. The present MC has been in place for 24 years, and there has never been a competetive bid process when the management contract is renewed. Our Board has always had a rather cozy relationship with the management company, which has created this situation.

I am on a committee to formulate a request for bid proposal so we can get a competetive bid process in place. Is there a source for a basic management contract which can then be modified to meet our specific needs? Of the 80 units, there are 11 timeshare units, 63 units in a rental program, 57 of which are rented through the existing management company, and 6 are rented independantly by the owner. The remaining 6 units are not in any rental program. Each of these owner groups has different issues which need to be addressed with a new bid proposal, and I am looking for any assistance on how to create a meaningful bid package.

It doesn't look like it. Try Googling management companies in resort areas and and see if they have on-line Requests for Proposals.

failing that, just google RFP. I found a couple of sites that guide a person through writing what is needed, to get one.

Tom, I'm not saying don't put this out for bid but don't just look at dollars and cents. Before you change MC's for one that is marginally cheaper; do your due diligence and check them out, talk to their other clients. Also beware of the low-ball bid, companies sometimes will come in with a low price just to get their foot in the door and end up costing you more in the end.

TomW: There have been postings here on interviewing prospective MCs and the interview process itself with appropriate questions to ask an MC. Use the search feature to find them. One poster, especially, has been single-minded and effective in his thorough networking to allow the interview process to go smoothly.
