I am the lone survivor of the old board, finally got them all ousted with new blood.

We are coming up on our first annual meeting.

ave been looking for some lists of action items that each board member would have responsibility for doing for this meeting, I can think of some/many but hoping to locate some ref material I can share!

hardly anyone comes to ours, we are lucky to get more than 3 non board members. Biggest advice is to not worry about it. Instead worry about your annual ballot/survey. we get almost 100 poeple to fill that out and it forces the board to listed to what people want , not what they want.

Start with asking them what they're most interested in doing. For example, if someone's really interested in budgeting, he or she could review the last three years of income-expense statements to see what's gone up the most. Another one could design a homeowner survey to see what they consider the most pressing issues in the community. A third could take a look at the community website to see what could be done to make it more user-friendly.

While you're doing that (or you can do this first), get a copy of your property management company contract, if you have one and divide it into sections. Everyone gets a section and should read it and discuss its contents at the next meeting or two. Gather questions for the manager do he or she can answer them at the next meeting after you've taken it apart. This can be the start of a productive discussion on expectations of both sides and you can build upon that.

Since you have new board members, it wouldn't hurt to get some basic training on what the board is supposed to do. They may already know, but there's always something to learn, especially since all of you are now sitting in the hot seat. If you and your colleagues want to avoid some of the major problems your predecessors created or failed to address, it wouldn't hurt to take a deep dive.

I always recommend the CAI website to see what sort of educational materials it has - they're not expensive and you may even want to consider a group membership. Use them with your documents so you'll understand both the documents and learn about best practices you can adapt for your community.

This seems like a lot and it is, but it's important to be patient with each other and yourselves. You will make mistakes, but that's how you learn. Keep coming to this website with your questions and read the older conversations to get some insight on what worked and didn't. Good luck!

Action lists? Board member duties? I reccomend the KISS method - KEEP IT Short and Simple. No more than 60 minutes + time for questions and comments from the floor at the end of the meeting.

You need a sign in to establish a quorum and distribute materials. Hopefully your management company can do this for you.

Then the president should conduct the entire meeting with the aid of a well prepared power point presentation following the agenda the board approved.

You call the meeting to order, qualify the quorum, review and approve minutes, review and approve the financial report, review topics the board believes are important to address, hold an election , open the floor for questions and comments, and move to adjourn.

Minnesota state law lists what needs to be in an annual meeting, also so does our bylaws.
