Am I correct in assuming that florida HOAs now have to have offical records available online???

I saw that. :-) The website I linked to in the first paragraph provides info for all states.

(Aside: I wish this website would allow us to search for all threads that were started by a particular poster. It would be so much easier to follow a story that covers multiple threads without relying on memory. But oh well...)

It does.

Click on "My Profile"
Click on "View Posts by User"
Substitute a posters name for your user name
Click on "search"

Shows the last 100 or so posts of that user.

Click (maybe double click) on the post to go to that thread

Yes. As of January 1 the new website requirements went into place. Any association with professional management probably had the governing docs online anyway. However, there was a lot of other stuff required. I spent hours last week with our PM making sure all we needed was on our website. We don't have secrets and never get records requests, but there were still a lot of documents that we had never put up there before, like a list of all our current contracts, a records retention policy, and a formal records request policy. Not all the official records need to be on the website, but of course they must be available for review.

Interestingly, we have always had the short version of our annual budget online, but decided to err on the side of caution and put the full, detailed budget up. Our treasurer was not happy, as he's convinced that someone is going to take his very detailed, 30 page document and create their own budget. I told him he overestimates the interest of our community! Even with a huge increase in insurance costs and damages from hurricanes Helene and Milton, we only raised our assessment $5 per month. So no one really cares -

(5)ā€ƒINSPECTION AND COPYING OF RECORDS.—
(a)ā€ƒUnless otherwise provided by law or the governing documents of the association, the official records must be maintained within this state for at least 7 years and be made available to a parcel owner for inspection or photocopying within 45 miles of the community or within the county in which the association is located within 10 business days after receipt by the board or its designee of a written request from the parcel owner. This subsection may be complied with by having a copy of the official records available for inspection or copying in the community or by making the records available to a parcel owner electronically via the Internet or by allowing the records to be viewed in electronic format on a computer screen and printed upon request. If the association has a photocopy machine available where the records are maintained, it must provide parcel owners with copies on request during the inspection if the entire request is limited to no more than 25 pages. An association shall allow a member or his or her authorized representative to use a portable device, including a smartphone, tablet, portable scanner, or any other technology capable of scanning or taking photographs, to make an electronic copy of the official records in lieu of the association’s providing the member or his or her authorized representative with a copy of such records. The association may not charge a fee to a member or his or her authorized representative for the use of a portable device.
