The church we used for our HOA meetings is no longer supporting these activities. What locations are your HOA members using and is it free. I'm hoping to find some places I haven't thought of from other HOA members.

I've heard some communities can use space in a library. Community centers may also offer space for this type of event. You could also ask a school if one is close to the association.

Our local libraries only make space available if the meeting is open to the public - otherwise you have to pay. So HOAs are out of luck.

The township in which I'm located makes the Trustees Meeting Room available to non-profits for free, so we use that. There is competition for the space, so we schedule meetings with that in mind.

Would this be for all association meetings or just board meetings? You'll also keep numbers in mind- if you get lots of people at your annual meeting, you might not have a lot of luck in finding a free spot. You also have to consider parking and how accessible the place is for people with disabilities.

You don't say how large your community is, and while I understand wanting to save wherever possible, why not make room rental fees part of your budget and adjust assessments accordingly? If you can't, you might also consider using Zoom and similar platforms for regular meetings and rent a larger space for the annual. Note that virtual meeting have another set of issues to consider, including looking into conference calling access fir people who don't have the internet. That's another conversation in itself, so read older articles about thatvon this website and bring your observations and suggestions to the next board meeting so they can consider what might work best for your community.

We only have 140 homes in our HOA, with dues being low. We would like to keep it that way.

do it online $72 for google workspace which includes video meetings. You can't record tho. for that you need to pay $12 a month.

How many people do you usually have for your annual meeting? Where have you met in the past for your annual meeting and for your Board of Director meetings, which should also be open meetings if homeowner wants to attend?

see if there is another HOA close by that has a club house you can rent. Or just do it online, much more pleasent IMHO.
