We would like to expand the access to voting, beyond paper ballots and proxies to include some form of web based electronic voting. We see this as a way to generate more participation in voting. Does anyone know of an application suited for HOA. Are there any "cautions", lessons learned we should be aware of. Thanks

We aren't allowed to post the names of companies or applications directly. However, there are many companies that provide these services. I would not recommend a "do it yourself" option, since HOA voting is one of the most contentious things HOAs deal with.

We hired a company and did electronic voting for the first time for our January members meeting. It worked extremely well. The additional benefit for us is that everyone who received the emails and signed up for electronic voting, also signed up for electronic consent. In our state, if they sign up for electronic consent, you can send all the official documents via email. That saves us a lot in printing and postage costs.

With electronic voting, we could see the number of votes but not the actual votes before the meeting. That meant we could tell if we had enough votes for a quorum in advance. Most of our community really liked it. It was easy to vote and there was no chance of voting for the wrong person or not choosing the right choice for our one ballot measure. The system had you verify three times before accepting the vote. It also told us when more than one vote came in for the same property (it takes the last one that comes in).

The only downside is that it was expensive. The mailings they did for us were much more expensive than if we did them ourselves, about $6 per packet. However, the time and effort it saved was probably worth more than that.

Electronic voting is not secret. There is no paper trail to verify once an election is challenged.

Yes it was pushed by the board lawyers and property managers.

Do you currently do electronic assessment payments? Set up other accounts called Ballot Smith and ballot Jones. If they pay their fees into jones, they voted for jones. If the vote for no one, they pay their normal account and voted for no one.

Or provide a proxy on the account directing the board to vote for a candidate,
