We do not have a pool clubhouse. During warm weather we hold board meetings under the pool cabana but in the winter it is much too cold so board members have been rotating having them at their individual homes. All board meetings are open to all homeowners, and the date time and location are posted on our social media sites and on a sign in our entrance.
At the last meeting one resident said he “didn’t come to board meetings because he thought it was unprofessional they were held at peoples private homes”, even though everyone was invited. He’d never attended a previous board meeting, even under the cabana in all the years he’s lived here… and he’s known as a bully….
The nearest location would be in the library 20 minutes away, and our documents clearly state they are to be held as close to the residents as possible.
What are your thoughts and suggestions?

In my last association, we held almost all board meetings at member homes for 25 years.

Either ignore this guy, or calmly explain why private homes are used, just as you did here.

Also get savvy about how (1) pleasing everyone is not possible; and (2) people get a brain chemical kick when they bluster like this idiot. In other words, they're all talk and no substance.

Completely OK. The only possible issue is accommodating everyone if your state or bylaws require open board meetings.

If this person complains constantly, it's also OK to respond with "thank you for your comments" and nothing more - or ignore the comment altogether if it doesn't contain any legitimate business. He wants drama, and the board's job is to make any interactions as boring as possible.

Another option would be to make a provision where he could join by phone from the cabana.

Agree with all others! Cathy's reply to the bully looks good.

As a director your job (imo) is to do whatever is best for your community.

Board meetings as close to your HOA's homes as possible helps achieve good attendance. Your meeting notices & agendas show owners that they're welcome to attend. Owners who attend board meetings tend to be good citizens, comply with the rules, and become and future HOA volunteers.

Off site meeting premises are not convenient or even possible for some to attend. From what I've read here over the years, there'd likely be a cost to your HOA too, which sounds entirely unnecessary.

From what you writ, Brett, you & your board are doing a fine job!

Hey,

We are overlooking Douglas's comment. I like your option. I think it was incredibly funny thing to say and if you did not intend to be humorous my apologies. Many times we have to be incredibly professional and keep a tight upper lip but if we can slip in some humor in these situations it can benefit. "Have the bully head to the cabana and take a phone call." You made my night.
