I am looking for an application that can manage our Home Owners Association’s Architectural Control Committees' form submissions for new home building requests and any changes that a homeowner may want to do. It has to be user-friendly and have the ability to upload documents that will then be reviewed by the ACC team. It must also be able to update documents submitted by the homeowner and let them review any ACC team comments. If anyone knows of such a site or is using one please let me know, TIA

I don't know of one, but I would think you could set up an Access program for this. If you're self managed, this might be a good project for a web designer who could enable some tasks to be done online. You might also talk to the computer science/information technology department at a local college- this could be a nice project for a talented student.

Or try googling it - I typed in HOA databases and a few companies came up. Some might also be in your area. We're not allowed to mention specific vendors or communities on this website (please read the posting rules) so this may be the best you'll get unless someone offers to send you a private nessafe.

I did Google it, and there to my knowledge zero that actually do this. Our HOA Management company offers a really piss poor one so to me it seems like a real money maker so I am going to try and develop something along that line. Has to be simple yet all-encompassing and even favorable to specifics in the community...thanks for that idea though....might run with it....

Good luck - you may come up with something that you can sell to a company or set up your own!

That said, you may think the management company has a bad one, but have you tried asking if it can be modified to your community's needs? Come up with something they'd pay for.

Thanks for the reply, the management company is really slow and very UN-knowledgeable in this area. We keep pushing but I don't think they have the skill set to understnad the back-end process of this kind of application.....

Maybe the answer isn't the software, maybe you should be looking for a new management. A ARC module ia built into our aoftware.

you can do that in google forms using google drive which is free. You just have to make the form and under settings choose they get an email of what they submitted and also allow them to edit responses.
You can search through the ARC requests as a spreadsheet or pie graph or whatever output you want as long as you properly format the questions.
Here is one I just made up in about 20 minutes:
https://forms.gle/ctj1h71G3cj1LgME6
You can fill it out and upload docs and see how it auto emails you and allows you to make changes.

There are software programs out there that cost $100 or $125 per month that also do this, but for our HOA that only has about 4 ARC requests a year it works fine. Honestly I could see it working fine even if one has 100 per year. Because it is organzied as a spreadsheet it is easy to add a row with approval or rejection to keep track of everything.

I'm not certain just how good a recommendation I can give it, but my neighborhood uses an ACC subfunction as part of its Dumbwebs portal. It's not too bad, has a reasonable workflow for assessing and voting on requests. The portal also offers Violation tract and a trouble ticket system. Unfortunately I can't say the name of the software without violation TOS. But if you could figure it out it might be worth a look.
