Hello, everyone!

Motions are passed in Board meetings minutes. How is the implementation of these motions checked? Is a Board member assigned to follow up?

Depends on what the motion stated. For example, if it was a motion stating the board will solicit bids for a new landscaping contractor, the property manager should mail them out. A due date should be listed on the RFP so the board will be ready to start reviewing them at the next meeting. For some motions, you can designate a board member to follow up.

Next time, your board should discuss how the motion will be implemented before or after it passes. The secretary can distribute an action list after the meeting so everyone will know what they're responsible for. The property manager should be writing down what he or she will follow up on and that would be listed on the management report the board receives to discuss at the next meeting.

I think what is being implemented is decisions or board actions when a motion "carries." How a decision will be implemented often is in the motion. Many Bylaws say that implementing board decisions is one of the few jobs of the board president: "The president will follow up to see that board decisions are carried out," or words to that effect.

Excellent idea of the action list to secure accountability! I will certainly propose to our Governance Committee to recommend it to the Board as well as to discuss how the motion will be implemented after the motion passes.
