Any ideas how to get past invoices from a former vendor?

Our previous board never kept track of records, so we have no idea what was done or how much it cost prior to me joining the board 2.5 years ago. I would like to get copies of paid invoices from our former landscape maintenance vendor, so we can be sure we are taking appropriate care of our landscaping today.

They haven't responded to our inquiries. Any idea how we can "force" them to provide these records? We are happy to pay for their time.

You'll not be able to force anything. If you're a new leader, start fresh with the vendor under no assumptions. Many good vendors are given bad directives by HOA board leaders and are punished when new HOA directors are elected and make operational improvements.

Gaining experience is your key to success, which is longer term play.

Past prices are not reflective of todays prices. If in doubt about present landscaper's price, ask for bids from a couple of other companies then compare.

I would go through past monthly financials. If you can't collect the information you are looking for, your financials are not properly set up and that is where you should start.

Unfortunately, we lose those too when we changed property management firms. Old property manager doesn't feel it's their responsibility to provide old check register.

I'm trying to get the bank to provide copies of cancelled checks for about 8 years if they have them. We will see.

Having records is important.

It's not to compare prices, it's to know how much we spent on x, y, or z. Or how frequently we serviced the irrigation valves. Or how many valve we have. Or how often we sprayed for weeds. Etc, etc, etc. Lots of good nuggets in old invoices.

(1) The association or its managing agent shall keep financial and other records sufficiently detailed to enable the association to fully declare to each owner the true statement of its financial status. All financial and other records of the association, including but not limited to checks, bank records, and invoices, in whatever form they are kept, are the property of the association. Each association managing agent shall turn over all original books and records to the association immediately upon termination of the management relationship with the association, or upon such other demand as is made by the board of directors. An association managing agent is entitled to keep copies of association records. All records which the managing agent has turned over to the association shall be made reasonably available for the examination and copying by the managing agent.
