Hello all,

Wanted to know your thoughts on the topic above. As an RM for my property, it's been tough when receiving proxy forms from Homeowners these days. I've sent out mass emails, posted them on bulletin boards/front office door, and our property application online (no website at this time). The Property Management always sends them via certified mail as well. We've never received enough votes and now my Property Manager wants me to go door to door to acquire the forms in person... What am I missing? Are Owners really this lazy where they can't turn in their forms? Can I notify them in other ways? I just feel that going door to door is just not optimal. What do you guys think?

AdamA1, hang around here a month and you will see that it is pretty common for a HOA to struggle to reach quorum for the annual meeting or any meeting of the owners. Aggressively (though non-violently) gathering proxies is often the only way to get to quorum.

A few threads are live right now that mention this directly or tangentially as going on right now in other HOAs.

As Augustin said, people are lazy AF and seem to have a mindset that "the association" will do all the donkey work while they sit and do nothing. This is why you can't get quorum at annual meetings, your documents updated, or anything else that's critical to the association running effectively. You've read enough conversations on This website to know the only way things change is when people get off their ass, hook up with like minded neighbors and push for the changes. Sometimes that means pounding the pavement - it can still work in the days of social media, texting and whatnot.

since a quorum doesn't require all the homeowners,focus on the number you need and walk around to get those proxies - think of it as a good way to get to know some of your neighbors. It could be the start of something great.

A contested election is always good for achieving quorum, as is having something on the agenda in addition to the election (eg. a speaker who will address an issue that concerns the community).

We had our best turn out the year we had a good ol' proxy fight in the month prior to the meeting, with competing candidates actively seeking proxies - snail mail candidate materials, door-to-door campaigning, etc. Some people think that soliciting proxies is "shady" but our attorney said that it's perfectly legal.

Thank you all for the replies. I have been thinking of that option overnight with the door to door visits. It could be that my mind is stuck in the old ways of acquiring these proxies. I most likely will have to change my mind set moving forward into next year and chase these mf's.

It's a combination of laziness and not understanding the importance of participation.

Do your reminders include an explanation of the consequences of not making quorum? As the election/meeting date approaches, I send daily reminders via email, including a current proxy count and amount needed. Certified mail seems an unnecessary expense unless its required by your docs or state law. And people who aren't home are not going to go to the post office to sign for a letter from their HOA. I'd send them regular mail myself.

I've never had to go door to door, but I have stood in the parking lot of the meeting location, accepting drive by proxies... if you want this meeting do what you have to do.
