How does your HOA get notified when warnings or fines are sent out by your management company? I have a question because it seems like we get a copy from the management company maybe a month or 2 later.

They will respond back via email but not always with copy.

We don't get notice, but if we are curious, our property management company runs a portal where board members can generate a report showing all of the compliance letters that went out.

Our PM also generates a meeting packet prior to each board meeting where all a copy of the compliance report is provided, so I guess we get notice that way as well.

If you're referring to your board, ours would get monthly reports with our management report. So our January report should have a list of homes that received notices during December. There might also be homes that received a second notice if the first went out in November. That's probably why your reports seem a month behind.

This doesn't sound like a hard problem to fix. As Henry nited, check if your property manager has a portal available for board members that can be updated as the notices are mailed.

Our violation process constitutes no letter or warning without Board approval.
