We are preparing to terminate our contract with our property management company and in the course of getting all of the ducks in a row we are compiling a list of things we expect to be turned over before they get their last pay check.

We don't want to word it where its vague with "all paper work and files" as this manager is notorious for not turning over everything. They have been fired a lot and almost every association has had issues when it comes to this.

Any suggestions?

This is the list that we use:

Property Turn Over Checklist
Please provide Faith Management Services, LLC with the following information as applicable. The highlighted items are most important before turnover.

1. Homeowner Membership Roster information, including names, property addresses, mailing addresses (if different from property address), and phone numbers.

2. All financial records, including but not limited to:
o Check in the amount of $2,500.00 to open an account in the name of the Association
o Check for remaining bank account funds
o Records of paid bills
o Schedule of dues
o Records of tenant payments (including any tenant payments made the month of the turnover)
o Bank Statements
o Financial Statements – last one most important
o Budgets
o Liens that have been processed or pending on homeowners
o Federal Tax ID Number
o Tax records
o Articles of Incorporation

3. All Association vendors for the community and any Contracts they hold with the Association, including:
o Pool
o Landscaping
o Water
o Termite/Pest control
o Electric
o Sewer/Trash
o Phone (for pool or clubhouse)
o Roofing
o Heating/AC
o Master Insurance Carrier
o Lawyer
o Elevator Technician
o Regular Maintenance Techs

4. Board Member’s names, addresses, and phone numbers

5. Minutes from previous meetings

6. Association documents, including:
o Handbook of rules and regulations
o Covenants, Conditions, and Restrictions
o Amendments to the CCRs
o Community By-laws
o Surveyor’s Map of the community (if available)

7. Extra amenities information (Boat Docks or Marina)
o Map of the marina/boat slips
o Cost for boat slips
o Any procedures for leasing/selling boat slips

8. Codes and keys for entry into pool/marina/storage, etc.

Add to the list all previous records of TOPS data for the entire time they were your Property Management Company.
TOPS is the computer software that all honest MC's use. It is life and death to your hoa. Dont forget the HOA seal for docs.
Let us know how you made out cause many in Florida are doing the same thing. Its throw out the junk time....Good Luck send us an email if you need help...
