Does your HOA board circulate board packages (with old minutes and other documents) before meetings?

Before your HOA board meets, does someone on the board send out a package to board members, consisting of minutes to be approved, an agenda and a set of slides showing discussion points?

Corporate boards generally have this done, but HOA boards seem less formal. In the HOA in question, the governing documents do not require this. The only thing that they require before a board meeting is a notice before a special meeting (but nothing before a regularly-scheduled meeting).

Yes, generally a few days before the meeting so board members have time to prepare. I don't understand why anyone wouldn't since it allows for more effective meetings - may depend on who has to do the work.

We used to do it. Then we got a lazy board who decided to discontinue the practice.

Our PM sends each director a binder with all of the materials, pics, copies of policies, etc. needed to discuss the agenda items, one of which are financials to review. "Old" minutes are not included, but draft minutes are. The whole package is posted on the protected portion of our website that's for directors only. I have not heard that this is required anywhere in any state. Most HOAs are corporations, Chris; but I think you know that.

It's policy with our MC and we wouldn't have an MC that didn't provide this service because no directors would do it. Put another way, there wouldn't be enough directors if we had to complete this binder every month. (We're a pretty complicated high rise with lotsa major infrastructure, etc.)

With Cathy, it's a fine way for directors be prepared for meetings and since a agenda items for open meeting must be posted 4 days ahead of the open meeting in CA and since the PM has received all meeting materials from directors or homeowner-submitters 10 days before the open meeting, the PM complies it.

Since board meetings are closed to members in NY, I'm wondering why you're curious about this? You're not on the Board of your new HOA, right?

Not sure why JohnC, SC & LetA decided to diss volunteer HOA directors in non profit corporations???

I've found that some board members may not be as versed in things like running a meeting as others are, but if corporate board meetings isn't their world, that's fine--they have other skills to add.

As Kerry mentioned, our PM takes care of this as part of the service they provide. That probably makes a big difference - a lot of board members have limited time (or limited skills!).

It doesn't go to members, but the minutes are posted after the meeting. I wish we posted a summary of the financial report like we did when we had a newsletter, but the annual budget is posted on the website and people can email or call the property manager for monthly reports.

Our association receives an electronic email with everything we need for the Board meeting. If a Board member would like to have that email materials converted to paper for the meeting, that option is available. As President I send out, a couple of weeks in advance, of a Board meeting some agenda items I would like to have. Any Board member, at this time can also add items. Our Management company always have their own agenda items. The week before the meeting I speak with the Management company rep. to give her a heads-up on any item that she should be altered to.

This year, our Board will be discussing the need for workshops as some of the topics we will be dealing with, this next year, will need some thoughtful discussions.

When I was on the board, this was done.
It saved a lot of time.
It allowed other board members to formulate questions to ask at the meeting about various reports.

All you have to do is read what some post and what some say about their BOD's to realize many on BOD's are not the sharpest knives in the draw. I could probably name a few that are lights on, nobody home. We have one on our BOD.
