Seeking information about how Boards are handling meetings during COVID-19 crisis.

Are 'closed to membership' Board Meetings being canceled? If not canceled how are they being conducted?

Are 'open to membership' Board Meetings being canceled? If not canceled how are they being conducted?

Have any Annual Meetings been held? If held how was it conducted?

Are ANY Annual Meetings being planned during the COVID-19 crisis? If yes how do you anticipate holding the Annual Meeting?

In SC we can hold BOD meetings on the telephone and we can also use Email for BOD business thus COVID has not changed how we do business.

In late March we notified owners our Annual Meeting will be on April 30. This week they will receive a letter cancelling that meeting due to COVID and saying we will reschedule it when safe. The letter also says the present BOD will stay in office until our Annual Meeting/BOD Election.

Not asking about 'how to do' Zoom and 'Go-To-Meeting, I'm asking for boots-on-the-ground information about how Boards are handling meetings during COVID-19 crisis.

Texas is an open meeting state. Two of our clients have held board meetings using voice teleconferencing, with access information published to owners who may wish to participate.

Planning for the rescheduled Annual Meeting in the association in which we reside is underway as it had to be rescheduled. The Board has agreed we will hold the meeting in one of the two parks owned by the Association. Doing so will facilitate physical distancing. We are thinking late May but will do no notifications until we see what restrictions may be lifted or relaxed. We have one board member position coming open, not holding the meeting last month only means the newly elected board member will have a 34 or 35 month term instead of the usual 36 months.

Meeting in the park will require a PA, a bull horn will be tedious. We are giving thought to how to handle ballots at the meeting to eliminate inadvertent exposure.

We scaled back our annual meeting to include only voting. People either voted absentee or dropped off their ballot. A handful stayed for the vote. Then the new board met to select officers and committee chairs. This was in early March when they were recommending social distancing but before the closures.

We've had one "emergency" board meeting via Zoom to decide on closing our amenities without notice to membership. Technically, there is nothing authorizing us to do that but we felt it was the only practical way to do it without delay.

Our next regular board meeting will be by Zoom. We notified the membership as usual with signs and email (as required by Texas law). The email included instructions for joining the meeting and the signs directed people to our website for instructions.

By law, we can only have executive sessions as part of another meeting.

Ohio is not an open meeting state, and board business can be conducted via email as long as the directors are unanimous and decisions are recorded in minutes.

Our March annual meeting was canceled. However, our bylaws state that the meeting must be held during the first quarter, so we're out of compliance. No word on when it will be re-scheduled or if any voting will take place.

Our governor is talking about limited lifting of restrictions come May 1, but these will be slow and cautious steps with significant hurdles to overcome regarding distancing, sanitation, and other requirements. And restrictions may be put back in place depending on the extent to which covid-19 numbers spike again (and they will spike - how much is the question).

The virus will be with us until we have an effective vaccine. High-risk populations should assume that life will not be back to "normal" for them until then.
