Hello,
I'm trying to get some different insights on how other HOA communities nominate board members? Once all nominations are accounted for how do you do your voting? I am aware that its outlined in most By Laws on how this process works but I would like to just hear some other ways that other HOA board committees run.

We notify the membership requesting nominees. We usually get none so someone on the board actively recruits people we think might be interested.

All nominees are placed on a ballot which are turned in at the annual membership meeting or by absentee voting. We do not take nominations from the floor. Essentially, the vote is separate from the meeting.

This worked out perfectly this year with the COVID-19 issue. We were able to cancel the meeting except for turning in and counting ballots and still elect the board.

Thank you so much for your reply. I’m thinking we will be doing everything by mail since we are practicing social distancing. Out current president has tried to go against this and set a date for a meeting but no one has shown up each time! As you can tell we desperately need to have an election ASAP!

How is anyone here supposed to know you "desperately" need an election?

Our bylaws require a nominating committee but people can also self-nominate from the floor during the annual meeting (we're a condo community).

A few states like Florida have outlawed nominating committees for condos but not for HOAs because these committees can be misused to limit who can run for a board position.

In my community we have as much trouble getting volunteers to serve on the nominating committee as we do for finding board candidates. And the few committees we've had have been pretty useless. Per our attorney's advice, we now let the three board members form the committee. If a board member is running for re-election, we replace him/her with a homeowner.

As you can probably tell, I wish that our nominating committee were optional since we basically jump through hoops to satisfy our bylaws rather than for any good it does. However, if you have a less apathetic group of homeowners, your committee may actually accomplish something useful. These committees typically become active before annual meeting time rolls around. But in practice, finding good folks to serve on the board often works best if it's an informal, year round activity, where the board cultivates and encourages others to get involved without scaring them off.

Forgot to mention the obvious: our annual meeting which was to have taken place a couple weeks ago was postponed due to covid-19. Our governor has banned gatherings over a certain size (10?) which is well below quorum for most communities, so in person meetings are not happening any time soon. Our bylaws don't address on line annual meetings or voting, so I think paper is required. I haven't heard any rumblings about rescheduling the meeting, so who knows what our community leadership is thinking.

Our docs call for a nominating committee and also nominations from the floor which kills the reason for a nominating committee so we ignore having a nominating committee. We notify our owners of our Annual Meeting 30 days prior to via US Mail. In the package is a notice of how many BOD seats (2 or 3) will be up for election and anyone wishing to run for a seat can be nominated by another owner and please notify the MC of such.

The MC runs our election and at the Annual Meeting announces who has been nominated and asks if there are any other nominations. Once settled, the MC makes up a ballot right there on their PC/printer, and we vote.

Also in the Annual Meeting Notice is a Proxy that says:

The voting member, undersigned, who will be absent from the meeting hereby appoints:
The HOA BOD or the below write in name and address as Proxy Agent for the above meeting and any adjournment thereof.

Typically there are enough proxies given to the BOD that the BOD can control the voting for at least one or more candidates.

All that said, we have only once in 5 years ever had an election as we do not get more running then seats available. We usually have to beg someone in attendance to be on the BOD. This upcoming election we will have 3 of 5 BOD seats up for election. Two of the 3 will rerun and the remaining two BOD Members (myself included) want them back on and we two will control the Proxies made out to the BOD, so guess what? Things like this are the good and/or the bad of Proxies. Just depends on what you want.

We had notified our members that our Annual Meeting will be on 04/30. We have since decided to delay this to an unknown future date. We are preparing a mailing informing them that we will reschedule at a later time also informing them the present BOD stays in place until we can have a meeting/election. We are also preparing a 2019 Year End Profit/Loss Statement and a Financial Statement to be included in the package.
