Quick questions regarding voting and the proper procedure, when making ballots do you include a line for the name, unit number and for the owner’s signature? Also do you require Photo ID?

Missy, what is needed on a ballot depends on the type of ballot.
For a secret ballot: no identification shall be placed on the ballot. When done at a meeting one simple method is to hand the ballot to the unit owner who is in good standing at time of registration. After voting they can fold it in half so as not to disclose voting. Also, a double envelope method can be used with the member providing identification on the outer ballot.

For absentee voting we prefer the member in good standing include signature, date, name, and address on the ballot. And if a secret ballot, use the two envelope system with only the outer envelope having this information rather than being on the ballot.

Besides ballots, most voting at a meeting is done by a show of hands.

Within a few weeks we will be holding a meeting to vote for a special assessment. In the past, ballots have been done with names and by secret ballot. Dumb question, how is it determined if it should be a secret ballot or is the type of ballot at the boards discretion?

Missy, the type ballot to use is determined by the requirements in the By-laws and any applicable state statutes. If none, then it is determined by the Board or by the members present at a meeting. For example, at a meeting any member can request a secret ballot be used to vote on a motion.

We are not allowed secret ballots for any voting, since any vote can only be made by members in good standing, and only ONE vote per lot is allowed. Therefore, we require the ballot to have the name and lot number/address on it so that it can be verified as eligible before it can be counted.

We do not require a picture ID.
