We are a small community of 83 townhomes and are looking to see if anyone knows of some way our homeowners can pay their HOA dues and fines online? IF possible one that will charge us as little as possible and let us know what house number the payment is for. Are we asking too much from an online payment system with those last two? We are hoping that giving this convienient option to the homeowners will increase on time payments or payments in general. If it makes a difference, we are in Virginia. Thank you for any help or advise any of you can provide or give.

Most banks will offer this service for a fee.
There are also various contractors that provide this service.

An internet search for paying dues online will bring up several results.
Various organizations I know of use runmyclub

I've often looked into this and could never really figure out a reasonable convienance fee to propose for the option of making credit card payments.

Dues can be paid online with various options. Our bank if you used them, they did not charge a fee. All had to do is open a checking account with them. Other banks may charge for auto-pay options or your own bank does. Talk to them first to find out options.

As for fines, no I do not think those should be paid online. That is a slippery slope. Fines are a different creature than dues. They work like speeding tickets for the HOA. Plus the HOA has to have an established fining schedule with the ability to fine. Do not think fines are one of those items which one should have auto-pay set up on. The whole process is subjective and not necessarily enforceable.

Take this for what it is worth. It sounds like you are self managed and doing things (accounting) the old fashion way, pen and ink. In order to first do online bill paying you have to have a software package that matches.

Why not use a MC that will handle JUST your financial needs, bill homeowners, collect dues, pay bill and prepare monthly and annual monthly financial reports. But, sorry to say, services do cost money. Cleaning pools cost money, mowing lawns cost money, removing snow cost money. An HOA is a business and unless someone is willing to handle using a professional HOA software package you're best bet is hire a company that does. There are strength in numbers.

Sorry, someone is WRONG! There is nothing wrong with paying fines online. If you have a software package to handle this, it is a breeze. Take it from someone who knows.
