Our HOA is researching the cost and issues of changing from a hard key system to either a keycard or keyfob system Currently keys have been issued without any real control over their issuance.
The key can open the gate to the pool or the tennis courts or the park/basketball courts. And yes we do have significant violations/abuse of the keys.

I understand the benefits of the keycard and/or the key fob. My challenge: If we convert to a keycard or keyfob system; we can reissue to all HOA members but how do we handle renters?

Anyone have experience with that?

I would imagine the owner would hand off the key fob to his/her tenant. If the owner still needs to retain access then he/she should bear the cost of extra key fobs.

Well, should work like that. We have some owners that use a property management firm. Ss I guess we'd have to get that worked out with the firm.

What does the HOA care about renters? They aren't members. The HOA issues it to the owner. The owner then is responsible for keeping up with their renter. Plus in some cases, if the HOA member is behind in dues, then their renter can't have access to the amenities as well. The rights to these if suspended to the owner is then to be suspended to the renter.

Go after the owners. If owners hire property managers to rent their units/homes then that's their business. But it's the HOA's business to hold the owners responsible for the actions of their tenants. I wouldn't deal with an owner's mgmt company at all if possible.

After years of pool key abuse and many keys no longer working, we installed a new system last year. We found cards/fobs to expensive or our 144 unity Condo community.

We installed a secured lock with numbered keys that can only be ordered by authorized people. E-mails were sent and signs we posted with dates keys could be picked up. We would allow renters to pick up keys provided we received a key request form from the owner.

We heard from a few property management companies, but all provided the form signed by the owner.

I manned the pickup times and really enjoyed meeting and talking to everyone who stopped by. It was especially nice hearing all the positive comments about all the improvements being made to the community.

We issue the first key since the change free. Replacement keys are $25.00. We encourage owners to collect/turn over the key when their renter moves, or they sell the unit just like they would collect the key to the secured mailbox.

We realize we can not turn off access with a key like a card or fob, but this was an economical solution for our community.
