My HOA has refused to provide minutes from our Annual HOA meeting that include resident input. The Property Manager stated it is common practice to release the approved minutes at the next annual meeting one year later. This does not make sense to me or other people I have consulted.

Please confirm for me that Annual meeting minutes including homeowner input from the meeting should be available to homeowners and let me know how to get the Property Manager and the Board of Directors to provide these minutes in the next month or two (draft or approved versions.

KenC2...............Say what ?.....Our annual minutes are approved by the BOD at their meeting which follows immediately after the elections and the adjournment of the annual meeting....Minutes may be picked up at the office Thursday morning- 4 days later to allow the office to transcribe and print.........Hope this helps LindaC

Ken, It is not common practice in any HOA with which I have been associated. We post a draft of the annual members meeting minutes on the HOA website immediately after the meeting. The Board approves these minutes at their first Board meeting following the annual members meeting. It makes no sense to wait a year

Thanks Linda and Roger for your immediate feedback! I need to clarify that the Board of Directors minutes were shared from the annual meeting except for the portion of the meeting where homeowners shared their concerns and feedback. None of the homeowner input was shared. So to expand upon my question, do other HOAs share homeowner comments from the annual meeting and make them available for all homeowners or even for the few homeowners who attended the meeting?

KenD2.............Only the official minutes of business conducted at our annual meeting are printed...We do not include comments as a form of official minutes...Only actions that require a vote are printed...Hope this helps......LindaC

Ken, minutes usually only contain official business. Concerns and feedback in the form of comments during discussion are not normally included in minutes. If a member feels an item is important they should incorporate this in a motion.

KenC2 - In my state and HOA, open meeting minutes from the previous open meeting must be approved at the first subsequent open meeting. If the same applies in your HOA, and if the BOD only holds one open meeting a year (at the annual meeting), than technically the BOD is in protocol.
