I've never heard of a need for a letter of intent to run for office. We would post the names of the people who were interested in running for an office on the bulletin board a few weeks before the meeting/election. The interested party would contact the board for their name to be considered. The board had to make sure the person was qualified to run for office. That meant up to date on dues and proven owner on title.

Honestly, most of the time, it would be whoever showed up on election day and tossed their name up in the air. We would accept proxy votes as well. If the proxy votes reflected names already submitted. There were allowed to be "write-ins" as well by proxy if the write-in was willing to run.

My campaigning Vice-President was simply voicing to people I was interested in the position. Once I was elected to the board, the board was to elect the officers from that board. I simply stated what position I wanted and they voted for me. The next year the President quit and I again voiced my interest in President. I did his job anyways, so I got elected.

It may just take initiative and voicing your intent to run at election time. If your qualified candidate and meet the criteria, then let everyone know who you are and what you want to achieve. It's then up to the others to vote you in. Good luck!

Our HOA is not that informal. Something about it seems odd but I can't put my finger on it.

At any rate, our by-laws specify that on or before the first Monday in January, the board has to mail out notices to the members that nominations are open - a call for nominations notice.

The notice has to specify the last date that nominations can be accepted and they must be presented in writing, but can be emailed, USPS, or hand-delivered, to be received no later than the close-of-business on the third Monday in January.

Then, per our By-laws: "Ballots shall be mailed to members of the Residents Association by February 1. Marked ballots shall be returned to the principal office of the Residents Association postmarked no later than February 21. Ballots will remain sealed and will be counted at the annual meeting of the Residents Association on the first Monday in March."

As you can see, we cannot accept ballots the day/night of the meeting. If someone does not mail in their ballot, they cannot bring it with them to the meeting.

So, as you probably read on here a lot, the best thing to do would be to refer to your HOA's By-laws as to how the nomination or intent to run for office needs to be handled.

Good luck!

Hi RonnieW. Welcome. We, too have a process at our condo association addressing what you're asking. All people wishing to run for the board must have their letter of intent submitted to the management company by a certain date in order for their name to be printed on the ballot. It's quite simple. Simply date it; address it; and state: I (your name) am submitting my name to be included on the list of candidates running for the Board of Directors for (your association name here), for the annual election on (date here). Then sign it, with your unit number. Our association also allows people to include "resume" letters with their submissions, which is also mailed seperately from the voting and proxy materials. Yet the "resume" letters must be mailed before the proxys. If you need help with your resume letter, please ask. Your request isn't unsual....it happens at a lot of condo associations.
