I was wondering how do your hoa meetings run ?

Like is there a check in process ,is there someone who is the only speaker ?

I am wondering only because even though we have been in here 3 years we have only had 5 meetings .
This is how it usually goes

We are outside either freezing or burning up so everyone is really not wanting to be there ,also when outside some people are really not paying to much attention because of cars driving by or people bring their pets .

Usually the PM speaks and maybe some one else and then lots of talking back and forth .

Very disorganized

In my mind I was thinking it should be more like
We meet inside some where we have a way to check in people we also have someone who knows who can vote ( ie a home owner and one in good standing )Similar to how you check in when you go to vote in general election for say a mayor or governor

Then there is someone who welcomes everyone for coming
then they go into whatever the meeting is for then if there are questions people are quiet while questions are asked and answered
then dismiss

Just curious how yours are

Hi I am not sure what you are meaning ?Sorry I tried looking up the word declarant but still not sure what you mean by it

At our annual membership meeting, there is a sign-in sheet.
Members who have proxies, sign-in on that lot as well but check the proxy box next to it.

The meeting is ran by the President.
If you're still under declarant control, I can see the MC running the meeting.

We follow our agenda -

Call to order
Proof of Notice
Quorum certification
Approval of past minutes
Officer Reports
Committee Reports
Unfinished Business (basically - explaining how the Board handled issues that arose the previous year)
New Business (typically - explanation of any amendments, nomination from floor (if allowed), introduce declared nominees, vote, collect ballots)
Open forum - (we have this while the ballots are being counted)
Announcement of election results
Adjourn the meeting

For Board Meetings we are a little more informal but try to keep to the agenda:

Call to order (we don't do this unless we have a quorum)
Approval of past minutes
Officer Reports
Committee Reports
Unfinished Business
New Business
Open forum - (if anyone other then the Board is attending)
next meeting dates (we try to go out three months)
Adjourn the meeting

I am not sure how do we find out the current Management company will not answer this question .
Do I call the builder and just plain ask ?

Subdivision is about 19 years old seems like they would not be but again am not sure

wow so organized so not what we have here .Last meeting stood out in the noon sun in May MC spoke then a few others spoke ( who at the time I had no idea who they were or anything since then I have found out )
then talking over people asking trying to compete to be heard over cars and lawn mowers

For our annual meeting we have a sign in sheet of eligible voters. People that have sent in absentee ballots are already marked off since they have to be received by the day before. No proxies in Arizona. We follow the agenda. After each item I ask if everyone understands and if there are any questions. Then open forum and then refreshments.

For regular board meetings the secretary includes all in attendance in the minutes, no sign in. They are usually people that have something on the agenda. Open forum at the end. Sometime we have refreshments. Everyone receives the agenda 2 days before the regular board meetings.
