I wanted to know if any of your HOA's require residents to annually submit resident data forms (address, renter info, car data). Is this something that is common?

In our gated high rise with underground garages, we require Owners to register themselves or their tenants whenever occupancy changes. We get their onsite address; mailing address, phone numbers; emergency contact phone. Since we're gated, we also collect car(s') make, year, model, license number. We collect motorcycle info, if any, and assign a common area parking space for it. We assign bicycle storage rooms' decals & record the #(s) on the form. The fob#s assigned to the Units are recorded on this form.

We do not require that this be updated annually; only when there's a change of occupants.

We have an owner contact form with the information you listed that each owner is required to complete and submit to our MC.

In cases where the property is rented the owner is required to provide the same information lus a copy of their current lease.

This has been required now for more than 3 decades here.

Like most of you have commented, we only require a new form when ownership changes or there is a new tenant. But I suspect that we have some homeowners who are renting without our knowledge. We were thinking about sending letters giving people a chance to submit any changes but someone then suggested that we make it mandatory every year. I think that is a bit much. I think I will suggest to go with writing a letter all unit owners asking that they submit forms if there have been any changes in the past year.

If you are in an age restricted community, there would be a need to make sure the Association meets the requirements for the restriction.

From your previous posts it sounds like your condo complex is located in close proximity to the gates to Hell. The conditions you described with people who may or may not be residents forcing entry through gates are not common. In your situation you should not worry about what other associations do. Just do what you need to solve your problems, one of which is not knowing who the people are and whether they live there or not. Collecting information about your residents would be a step in the right direction for your association.

From your previous posts it sounds like your condo complex is located in close proximity to the gates to Hell. Thanks Larry. Your comments have convicted me I'm headed in the right direction. I'm trying to get this mess together. I was just voted to the Board this past Dec and quickly saw that things were not right. On top of that, our development consists of 2 separate HOAs and the previous board members were at odds with the other association. I am in the process of mending relationships so both HOAs can work together for our community.

I applaud your willingness to serve your community, MB8. I hope your Board is an active an cooperative one. While there aren't too many of us on the Forum who are in condo HOAs, seek us out when need be!

Many other here aren't in condos but also offer fine advice!

What do you actually do with that information? Is it all absolutely necessary, or could the same results be achieved through some other means?
