Hi everyone.

Our management company here took over our HOA about 3 months ago. They are doing great and I have to ask due to previous horrific managment our BOD really had to ride the PM's tail to get things done in a semi decent manner of time.

This management company seems alot better but has had some misses with simple work orders.

ALthought I don't get a response I have emailed our PM weekly asking for status on some issues that literally have gone unresolved for months. Meeting minutes constantly show discussion, but result show no action.

Example We had a broken exit sign that needed repair. It was initially mentioned in March. ( I was not on the BOD at that time ) 3 months later no repair, but every months meeting minutes reflected same homeowner bringing it up.

I emailed our pm and told them this needs to be done, and gave them a list of basic maintenance. I also think that regular contact weekly in between HOA meetings willhelp keep them on task.

How follow up done with other PM and HOA's? I see our HOA would usually let the PM do whatever between mtg, no follow up hence the exit sign example.

What does your contract say the PM is responsible for? The PM is a paid contractor of the HOA. It does not mean they are responsible for caring for the HOA. Meaning that the HOA board may find a bidder to do the work they want done and have the PM pay them. It can be the PM is responsible for bidding for contractors and the HOA approving that expense.

You need to have that relationship definec before you think they are dropping the ball...

Along with Melissa, Fiona, make sure you read and understand your contract with the MC.

Next, can any director give orders to the PM?? In my HOA only the Board acting at meetings can give the MC directions. Often, this takes more than "discussion" at a meeting but alos a vote. The board president follows through with our PM if the work doesn't get done.

So it sounds like there may be a misunderstanding about giving directions to your MC. Get it straightened out.

I would think a simple database program could keep running track of items, resolutions, open items, etc. It could be reviewed on a regular basis and distributed to all parties.

We did this on an ARC I was part of. We had some reluctance but we were able to get a free copy of MS Works (yes, MS Works) and we used their Database. The more computer literate folks could load it in to MS Access.

We could sort/list based on address, name, dates, status, etc. It worked quite well.
