A bit of re-hashing of an old topic, I know, but I didn't want to drag up a years-old thread.
We're a small, 20 unit HOA. We have a 5-member board which alternates between 2 & 3 people being elected each year. In 10+ years of being active, we have never had to vote to elect members to the board. That is, if we had 2 openings, we had 2 candidates. 3 openings? 3 candidates. Nominations are always from the floor.
"Bob's not running again, does anyone else want to?"
Bill: "Ok, I guess I'm willing"
"Great, anyone else?"
Chorus: "Not me"
Someone nominates Bill, Bill accepts, his name goes on the "ballot"
2 openings, 2 names. Done.
Just in case this year is actually different, I'm wondering how to do a Proxy for voting, because one our board members won't be at the meeting and wants to have his vote counted.
Our bylaws only state that absentee and proxy ballots are permitted, and I don't think there would be much of an issue with whatever we do, but is there a generally accepted practice for wording?
I saw this on an earlier thread. Is there any reason it wouldn't suffice?

I, (print name)_______, owner of (print address) at the (insert your Association)_______ do hereby constitute and appoint (insert proxyholder's name)_______ or, if no name is inserted, the Board of Directors as attorney and agent for me to vote as my proxy at the Association meeting on August 30, 2007 or any continuation thereof unless revoked, and direct the Proxy Holder to instruct the election monitors to cast a ballot for the following candidates and/or write-in candidates. (If no candidates or write-in candidates are reflected on this document, the proxy holder may cast the votes as it deems fit.) I understand that if I should attend the meeting, I will be entitled to revoke this Proxy/Ballot and will receive a ballot for that meeting only. [in bold print: This proxy will be used as the ballot if the owner is not present.]
