HELP! I have an annual meeting in a couple of days. The agenda has been set. However, the order of two items need to be switched. I'll not go in to the reasons. I only need to know if one can modify the agenda order, and how to do so.

Since the actual items of the agenda are not being changed, this shouldn't be an issue anyone would complain about. You could simply print new agendas for the meeting and explain in the meeting that the order has been changed due to xyz but nothing was added or subtracted from the agenda (include those comments in the minutes along with copies of both agendas as attachments for proof).

OR

You could, when you come to the item that needs moved, simply make a motion to revisit the item later in the meeting as we need to address xyz first.

If you follow accepted parliamentary procedure, that's the preferred way to do it.

We sometimes change the order to put more pressing and important topics first, especially if we feel the topic may require extensive discussion. Better to do it before people statr getting tired or less focused.less important topics can be done later or even tabled for a later meeting.

We do it as advised by Tim & Bruce. But, like Fred, we've moved topics to the very top of the agenda when it's obvious there's a lot of community interest, and no reason to make them sit through the required but boring stuff.

I was at a school board meeting for a community college. They asked if there were comments on certain items to assess what should be addressed first. I've also attended a meeting where there was a sign in sheet for people who wished to speak and you were also asked to give the topic you wished to speak on. This way if it was something not on the agenda, then it would not result in any change of agenda order. If it was, then either the item would be moved or the comment would be held until just before the topic on the agenda.

As I was invited to speak on a topic and I also allowed to be part of the committee discussion.

Although your agenda has been set for your annual meeting,and still you wants to switch few items you have to follow certain steps.
Editing an agenda item:-

1.Double-click the meeting to open it for editing.
2.Click the Agenda tab.
3.Double-click the agenda item you want to edit to open it for editing.
4.Make the edits you want.
Click Save & Close.
