We are in California. We have an Annual Meeting scheduled for this Wednesday. At the meeting the mailed ballots will be opened by a third party. The association is a 16 units. The ballots are just a formality as there are only three people running for the three person board but we have been told that it is necessary to spend the money on the third party so that the board is absolutely legitimate if there was ever a legal problem. Most likely we will only get a one or two people (maybe less) beyond the three board members and the third party ballot opener counter.

The problem is that we can not meet in the location where the meeting is announced to be. It is a realtor's office. She allows us to use the office for meetings but forget about the date booked and has other plans. The office is about a half mile from our homes.

One of the board members approaches everything from the perspective that we need to do things with the least chance of getting sued for anything and I want to placate him so that he stays on the board.

Should we:

- put a note on the office door saying the meeting has been changed to location on the property (my home)?
- pass out a note to each front door as soon as possible stating a location change?
- pass out a note saying the meeting date has changed to a specified date in the future (4 days, 10 days, two weeks?).
- hold a quick five minute meeting out front of the realtor office at the designated time and date and just get it over with?

People may have planned on atending that day so I would keep it for that day. Meet at the realtors office, even if outside or in the lobby/hall does not change the meeting place and time.

With only 16 could they not all be called?

Otherwise if it will be simple and easy, I would let it stand for where and when planned even if you meet in the lobby/hall of the real estate office.

As others have said, I would start the meeting at the office (even if it's outside) and then recess to reconvene at a different location. Then you can put a note on the door for any attendees who may be late.

This would be following procedure without the need to send new notices.
