Our new president who changed management companies illegally, without opening it up in our monthly board meetings and continues to make decisions "in secret" (I have posted many concerns on your website with excellent support and advice) another "secret" was revealed the other day.
When he transferred our association to another management company, all of our records (neatly boxed by our out going management company) were placed in an air conditioned storage shed. Reason being, our new president didn't want to travel the 19 miles one way where the new property management office is located to look up any information (our previous management company was 3 miles from our community).
So my question to the new management company will be, how effectively are they managing our community when all of our records are kept off their premises?
For those who have read my previous discussions, can easily see that our community is being mismanaged.

Though this unit may be air conditioned, many of us are concerned how safe this idea is.

It would be good to be sure the unit is in the communities name, and that access to it is given to more than one named individual. Storing previous years files offsite is a common business practice, though. It seems likely that the management company has all the information they need in digital format, anyway, the physical files are probably hard copies of information they already have.

Our Association is self managed and we kept historical records off site for years (until it got too expensive). As Jennifer said, it's common practice.

Personally, I don't believe that a management company should be the custodian of the all the records. I can see them needing the individual lot files for assessment payments and perhaps Architectural (if they are the approving authority). Other than that, all other records should be kept by the Boards or Committees.

Yes, the secretary is responsible for safeguarding the records. That person should be in the loop.

Your new president will continue to make "secret" decisions on his own without instructions from the board as long as the board continues to let him get away with it.

If the board doesn't like what he is doing, order him to stop or remove him as president in accordance with your association's documents.
