Need Help composing letter to HOA for hard surface flooring and Washer & dryer in the unit approval

I am in escrow for my condo purchase,and according CC&R I need board’s approval on hard surface flooring and having washing machine in the unit.(unit has newly renovated [dedicated] launder room, with all necessary electrical, pluming and hot & cold water hook ups. (No washer and dryer)

August 4th is HOA board meeting. Because of board meeting is a closed to non members and I cannot present changes in person.My intention is to send a letter via email and certified mail to President and Vice President to get approval before my contingency's expires.(seller and RE Agent are going to attend the meeting and discuss the matter)I need this letter in addition to their request.

I am all new in this.I need help from someone how can compose a letter, with right language and don't mined paying for your help.

First, you should see if the Association has a specific form to use (as some do).

Second, I would encourage you to seek a signature from the person downstairs. I would think that they would be more then happy to endorse your request based on what you are proposing.

Third, I would remove the section about "if need be" from your washer/dryer request and specify that it will be mounted that way. It's always better to go above the requirement then not.
