Hi,
I was wondering if violation letters are considered part of an associations official records?
I know the basics, financial reports, minutes from meetings, ect but if a homeowner who is not on the board wanted to see what violation letters have gone out in the previous months do they have a right to see them?

They are official records, but you might not be able to see them with out them being fixed, that is, blacked out with name and address and any other personal data that would be private information. Blank letters to see how they are written would be OK.

Our association reports each month one how many violations, type of violations (like parking, upkeep, etc.) to the board. Who was in violations gets into the privacy issue.

We have a similar issues, yes copy is fine but I would give a homeowner a list or
a pie chart of what violation percentages are given, and a blank letter to see what goes
out, the board can get into trouble giving out personal letters without blanking out like
said previously the personal information of the homeowners.

Thank you for the answers. I was worried about giving out the letters with the names and addresses on them. A chart is a good idea.
