We have a hard time tracking violations (64 homeowners) in a simple and easy way. At any given time we may have 6-12 open issues to track and follow through at a time. And since the time line may be different for each, it becomes a lively 'who's on first'. Any suggestions or ideas are welcome. Thank you. Diana - board member inOregon

Just use google docs. Its free, you can give read or edit permission to anyone you like, track changes, etc.

Diane - We use an Excel file as a database (each row represents a record, and each column represents a field within a record).

We use the same file for both violations and ARC applications. We do this because often a violation "turns into" an application - e.g. an owner makes a change without the necessary ARC application/approval receives a notice of violation. That owner then submits an application for the ARC/BOD to consider. Since it's really the same topical matter, we keep it in the same database record.

Generally speaking each row/record "flows" from left to right (some example fields below) with many of the fields just requiring a date entry. The file can get pretty big, pretty quick, but using data filters in the Excel columns (particularly the "active" one) easily solves that.

Our compliance committee does not use any software or database. Each committee member tracks violations with different methods.

I use a spiral bound theme book. A page is dedicated for a particular date then violations noted, address and action taken is also noted there.

When courtesy or fine notices are sent, a copy is retained by the area monitor (6 areas in my HOA) in a loose leaf committee notebook. Courtesy notices are not kept in the Lot File at the office but are retained in the coordinator's file book. The fine notices and subsequent notices & correspondence are kept in the Lot File as well as the coordinator's book. Our HOA BOD & committee chair do not see the need to retain all these records. I disagree and believe that All HOA related correspondence SHOULD be retained in the office since these would be considered association records.

I previously used excel and had detailed lists - this was overkill for my particular HOA. When the committee meets (once a month), the chairman asks each area monitor what violations they observed or cited for the month and records them in our minutes. Our committee meeting minutes reflect all violations for each month, actions taken (letter) and whether the violation has been corrected or will be referred to the BOD.

Thank you everyone for your suggestions. Our Property Management company manages the violation tracking, sending out letters and fines if necessary. They use an excel form but it has become too big. They send email us the form once a month. We (board members) will do 'walk throughs' to see if all is well and note statuses and then report back to Prop Mgr. Our ARC committee gets involved only when necessary. Most of our issues are around trash bins left out, front porches being used as storage for bikes or kids toys, newspapers left around, things like that. The good news is that it is nothing serious; the bad news is that asking people to pick up after themselves is getting very old.

We are looking for a better system than the Excel methods we are currently using as well.

This product seems to handle violation and fines, wondering if anyone has any experiences or suggestions to share.
