For those of you who have had document inspections in your association, is one homeowner allowed to inspect all the private documents of other homeowners? if so, what costs were charged? Specifically talking about arch. review documents.

ARB docs - meaning those that are submitted to be approved would be considered doc that a homeowner would be allowed to review. What we do is require that they can only be reviewed at th Management COmpany offices and that any printing / copying is paid for by the person revieiwing. I would say though that personal information could be blacked out - meaning email addresses of homeowners and phone numbers. That kind of personal information should not be given to everyone.

10 cents per copy is what I was charged in November. I believe in most cases you are suppose to charge resonable and customary fee. I would double check though on what they are permitted to look at. I got meeting minutes, articles, CCR's, tax returns, bylaws, and member list including addresses, and copy of financial statements for the HOA. In theory I would have also received voting records...had they been kept. DOH!!!

I doubt if the voting records of any one HOA member falls under this category (released records)

The privavy of the vote must be protected.

Actual vote ballots are destroyed after a time, unless in dispute. There is no reason to hang on to them. Once the results of the motion or election is announced (and not disputed) the voting ballots serve no purpose.

Of course the results of any election should be in the minutes.

Some minutes done't include the actual ID count of board members for motions put before them. But some do.

In the eyes of County Election Officials, IF a person votes is public record, not how they voted. Many parties and groups will purchase your voting record from 3rd parties that collect this information. All an HOA organization meed to keep is a roster of those owners that turned in their ballot for a specific election.
